Sub: Inviting Quotation/Tender for the Crew Layover Accommodation at Riyadh.
It is proposed to hire accommodation
for the Operating Crew of Air India (merged
entity of erstwhile Indian Airlines/Air India) having a brand name Air India in a hotel category Five
Star/Four Star at Riyadh with effect from 16 March, 2012.
GENERAL TERMS & CONDITIONS
- Air India’s
present requirement is approx. 8 rooms per day for the
accommodation of Operating Crew. The number of rooms may increase
/decrease depending on the pattern of operations and the type of aircraft.
- The hotel is required to bid for the total room requirement. In
case the hotel is not able to bid for the total room requirement for
whatever reasons, the hotel may indicate the maximum rooms the hotel can provide
to Air India
for Crew layover accommodation. Air India may at its discretion,
accommodate crew in more than one hotel in case one hotel is unable to
provide all the rooms required.
- The billing is to be done on the actual utilization of rooms on a 24
hours check out basis following the pattern of back to back.
- Pattern of operations will be given to the hotel at the time of
signing the contract and in case of reduction/increase of rooms, Air India will
advise the Hotel suitably.
- The hotel should specify the applicable rates/charges in case of
overlapping by indicating the charges hourly/slab level.
- Room & Breakfast Charges- The quote should be for the
room, inclusive of breakfast by indicating the value of the breakfast
separately and applicable taxes.
- Porterage Service- All crew baggage shall be
collected from the crew transport on arrival and delivered to the rooms
and collected from the rooms to the crew transport during departure.
- Laundry Facility- The hotel should indicate the
availability of Laundry/ Pressing facility. Laundry/Pressing facility of
one set of uniform per stay should be complimentary as a part of package.
- Crew Transportation- The hotel will arrange
transportation from hotel to airport and vice versa for the crew pick up
and drop from the respective airport as a part of package.
- Cash Float- Allowances to be disbursed to
crew Members in cash in Local Currency. A deposit will be maintained with
the hotel by Air India
and reimbursed on a fortnightly basis as per the requirement.
- The Health Club- Should be adequately equipped
with the latest equipment and should be made available to the crew on a
complimentary basis.
- Contract Period -
a)
The
contract shall be at least for a period of one year and /or two years and /or
three years with an exit clause.
b)
The
contract period could be extended for a further period of one year on the same
rates, terms and conditions if mutually agreed with an exit clause.
- Exit Clause-
a)
The
agreement can be terminated with 60 days notice by either party without
assigning any reason.
b)
Unless
both the parties have mutually agreed for an extension, the contract stands
automatically terminated on its expiry date and no notice of termination will
be required.
- Terms of Payment- Bills will be raised monthly on actual occupancy basis by the Crew.
Invoices would be submitted to Air India office and will be
settled within 30 days from the date of receipt of the bills.
- Force Majeure- Air India will be exempt from obligations of prompt notification is
given in the event of suspension of flights/operations to the station
,change in Crew layover pattern, circumstances or causes beyond the
control of either of the parties.
- Any additional facilities for the Crew such as Crew lounge with the
facility of tea/coffee/shuttle service for popular malls (City Centre)/ complimentary
fruit baskets/mineral water/tea or coffee making facilities/daily
newspapers/ number of complimentary local telephone calls or any other
facilities as a part of the package may clearly be indicated.
- Mode of Submission of Tender- The tender should be
submitted in a Two Bid System i.e. in two separate sealed envelopes
as follows:
Envelope No.1
containing the Technical Bid duly super–scribed as “Technical Bid” and name of
the Hotel. If may please be noted that any mention of financial details in this
envelope will render the offer invalid.
Envelope No. 2 containing the Financial Bid
in the prescribed format, duly super-scribed
as “Financial Bid” and Name of the Hotel.
The above arrangement is necessary,
as these two separate sealed envelopes will be opened at two different times.
Both these sealed envelopes i.e.
Envelope No.1 & Envelope No. II should be placed in a single large sealed
envelope, duly super-scribing NAME OF THE HOTEL and TENDER FOR CREW LAYOVER
ACCOMMODATION AT RIYADH. This envelope should be submitted by 31 January,
2012 to the following address:

- In case of any deviation in submitting the quotes as prescribed or
any overwriting or incomplete tenders, the quotations will be rejected.
- Air India
reserves all the rights to accept or reject or put the entire process
aside without assigning any reason whatsoever.
